Spend your days tuning, not scheduling.

Pianobooker keeps every client and every piano on file, reminds them when they're due, and lets them book themselves into your week. Built by a piano technician, from the makers of Cassotto Levers & Prestige Tips.

Work smarter, not harder

Pianobooker does the busywork, so the day belongs to the pianos.

The phone tag, the sticky notes, the “wasn't I due in spring?” emails. Here's what happens without you lifting a finger.

Pianobooker Intelligence finds the time.

A client calls for a tuning. Pianobooker reads your week, measures the drive from the appointments you already have and suggests the slots that fit your route, with the reason for each. Pick one and it's booked.

Everything in one place

From the first phone call to the paid invoice.

Built with care

Made by people who sweat the small stuff.

Pianobooker is built by a dedicated team of software professionals who care about getting it right. A new scheduling app seems to pop up every month, thrown together in a weekend. Pianobooker isn't one of them: it's built to be secure and fast, with real craft in every small detail.

Secure by design

Every request is checked against your workspace, so your clients' details are only ever seen by you and your team. Card payments go through Stripe and never touch our servers.

Fast, everywhere

Pages open instantly and update live, so a booking made on your laptop is already on your phone. We measure speed on every change so it stays that way.

And the rest of the toolkit.

Week, month and year

See your schedule as it happens. Subscribe from Google, Apple or Outlook and your jobs sit next to the rest of your life.

Condition reports

Record issues and measurements at every visit and send the owner a report they can keep.

If you want to make your business simpler, more efficient, and keep all your clients organized in one place, you're in the right spot.

From the waiting list to your first booking.

  1. 1

    Join the waiting list

Leave your email. We are opening Pianobooker to technicians a few at a time, and every spot goes to a working tech.

  2. 2

    Bring your book across

When your invite arrives, import from Gazelle, your phone or a spreadsheet, and we will help move your clients, appointments and reminders over.

  3. 3

    Get back to the pianos

Share your booking page, let the reminders run, and spend the day tuning instead of chasing the calendar.

Pricing

Simple plans that grow with your book.

Every plan has every scheduling, reminder and record feature. Plans differ by how many active clients you keep, and paid plans add Pianobooker Intelligence. Pick your plan when your invite arrives.

How many do you need? Six months is about 130 working weekdays, and not every client tunes twice a year, so a book of 500 fills 2 to 4 visits a day.

Free

TBD

Reminders that send themselves.

When a piano comes due, the owner gets an email or text with a link to book, and a follow-up if they let it slide. They pick a time, you approve it with a tap, and the confirmation and day-before reminder go out on their own, whether you're at the office or halfway through a regulation.

Pianobooker emails and texts clients when their piano comes due, lets them pick a time from the link, puts the request on your dashboard, and once you approve it sends the confirmation and the day-before reminder.

Activity

Running late? Let them know in two taps.

Check the drive to your next client against live traffic with one tap. If the last job ran long, Pianobooker suggests a friendly running-late text with your new arrival time already written. Tap send and get back on the road.

Pianobooker checks live traffic to your next appointment, and when you're running late, one tap texts the client a pre-written message with the delay.

Ramble. Pianobooker takes it from there.

Talk through the visit on the way back to the car. Pianobooker is tuned for piano work, from cents and hammers to humidity, and turns your ramble into a logged visit: the tuning, the readings, the issues to watch and when the piano is due next.

Learn more
A technician dictates a rambling account of a piano visit, and Pianobooker turns it into a logged tuning, a humidity reading, two findings and the piano's tuning schedule.

Get paid through Pianobooker.

Send estimates clients approve online and invoices they pay by card, straight from the email. Money lands in your own Stripe account and Pianobooker keeps the books: what's paid, what's owed and who by. You can stop paying for QuickBooks.

Learn more
After a visit, the technician sends an invoice built from the services performed; the client pays it by card from their phone, and the invoice flips to Paid in the technician's records with the fees and payout itemised.

Beautiful on mobile

Designed for the phone in your pocket as much as the desk. Every change is checked on iPhone, iPad and Android before it reaches you, right down to the color of the status bar.

Obsessed with the details

Scrolling past a menu never pops it open. A text that fails to send says so, with a retry, instead of pretending. The button on a visit always offers the next step. We sweat hundreds of little things like these so the app just feels right.

Give feedback

There's a Feedback button on every screen. Say what's bugging you, type a line or record your screen, and it goes straight to the people building Pianobooker.

New features every week

Updates land continuously, with no upgrade to install, and many start as a technician's request. What's New in the app shows you what changed.

Your service area

Set how far you'll drive, measured in real drive time, and see your area on a map.

On your phone

Install Pianobooker like an app and get a notification the moment a client books.

Keep the clients you want

The bigger plans hold more active clients than one technician can tune, so you choose who stays on your route.

Yes. Connect your Gazelle account and bring clients, pianos and history across, or import from your phone's contacts, Google, Outlook or a spreadsheet. If you'd like a hand moving over, get in touch.
How do online payments work?
Connect your own Stripe account in settings. Estimates and invoices go out by email with a link to approve or pay by card, the money goes straight to you, and Pianobooker marks the invoice paid and keeps the record.
What counts as an active client?
Any client you haven't marked inactive. Clients who've moved away or sold the piano can be set to inactive and they stop counting toward your plan, with their history kept.
How do the reminders work?
When a piano is due, Pianobooker sends the owner an email or text with a link to book. Clients get appointment confirmations and reminders too, and they can opt out of texts at any time.
Does it work with my calendar?
Subscribe from Google Calendar, Apple Calendar or Outlook in one click and your Pianobooker appointments show up there, updated automatically.
Does it work on my phone?
Yes. Pianobooker runs in any browser, and you can install it on your home screen like an app to get a notification when a client books.
